Christmas time of day routing (TODR)

This guide assumes TODR is already set up. It is recommended to read the following help articles before proceeding:

2023/2024 UK public holidays

Monday 25th December 2023

Tuesday 26th December 2023

Monday 1st January 2024

There are three public holidays for the 2023/2024 holiday period. This guide explains how to set your incoming numbers to out-of-office hours on those days. It also covers alternative scenarios like closing early on Friday 22nd December and what to do if you don't use TODR.

Office closed on all public holidays

If you are creating the TODR rule after the 2nd of December, you can create one rule to cater for all public holidays. 

Start/End Time: Any Time

Days of the Week: N/A

Days of the Month: 02, 26, 27

Months of the Year: Jan, Dec

Order Position: 1

Calls In Time Range Go To: Out of Office Hours

It's important to delete this rule before the 26th of January.

Otherwise, this rule will send calls to your 'Out of Office' hours dial plan on the 26th and 27th of January. 

Closing early on Friday 22nd December

  1. Click on Incoming Calls from the left menu.
  2. Click on the Time of Day Routing tab
  3. Click on View Time of Day Routing Rules to see what you currently have e.g. 09:00 to 18:00 on Weekdays only.
  4. Click on Add To and set the Start Time as 14:00
  5. Set the End Time as 18:00
  6. Ignore Days of the Week and pick 22 for Day of the Month and December Month of the Year
  7. Select Order Position 1.
  8. Select Calls in Time Range Go To Out of Office Hours and submit

Not using TODR

Backup dial plan and add a seasonal audio file and voicemail

This guide assumes you already have a seasonal audio file recorded and uploaded to your account, and a voicemail box. For more information on how to add audio files and voicemail boxes read the help articles:

If you do not use TODR and you're closing for the holidays, you can easily back up your existing dial plan and replace it with a seasonal audio file and voicemail. When you return to the office, restore the dial plan using the backup.

  1. Go to Incoming Calls and select 'Backup/Restore'

  1. Select Backup and give your dial plan backup an identifiable name and submit

  1. Click 'Add To' and complete the form as follows:
    1. Add To - Main Dial Plan
    2. Priority Order - 4
    3. Feature - Background
    4. Sound File - Your seasonal greeting
    5. Submit

  1. Complete the 'Add To' form again, this time to add the Voicemail step
    1. Add To - Main Dial Plan
    2. Priority Order - 5
    3. Feature - Voicemail
    4. Sound File - Your voicemail box
    5. Play Unanswered Message - No
    6. Suppress Default Message - Yes
    7. Submit


Callers will now hear the seasonal greeting and have the option to leave a voicemail before the call ends.


When you are back in the office, restore your dial plan using the backup you took in step one:

  1. Go to Incoming Calls and select 'Backup/Restore'
  2. Select Restore, select your backup and submit
